How AI Helped a Community Generate 40 Leases During a Staffing Transition

When staffing changes threatened prospect follow-up, PaulsCorp expanded Nurture Boss’s role. Over two months, the Virtual Leasing Assistant handled 1,197 interactions, influenced 40 leases worth ~$1.5 million, and helped Flats on the A increase occupancy during the transition.

The Challenge

Flats on the A had previously customized its Nurture Boss Virtual Leasing Assistant workflow so the onsite team could take a more active role in initial prospect follow-up. When the community later entered a staffing transition, maintaining that level of manual outreach became more challenging.

PaulsCorp Marketing Manager Danielle Petersen wanted to ensure new leads received timely responses and continued moving through the pre-tour and post-tour journey. She also wanted to protect the marketing investment generating those leads. Without consistent follow-up, PaulsCorp risked paying to attract prospects who never received the communication needed to move forward.

The Solution

As soon as Danielle identified the gap, she and the Nurture Boss team expanded the Virtual Leasing Assistant’s role.

“We knew that without timely, consistent follow-up, interested prospects could quickly become lost leads,” said Danielle. “The Nurture Boss team moved quickly to expand the VLA’s role, helping us keep every prospect engaged and moving toward a tour and lease.”

First, Nurture Boss removed the 24-hour delay before the VLA’s initial message, allowing it to contact new prospects within seconds. The team also changed the first three pre-tour and post-tour follow-ups from three-day intervals to 48-hour intervals.

“The 24-hour delay was the first thing we knew needed to change,” Danielle explained. “With the staffing gap, we could not afford to wait a full day before a new prospect heard from us. Updating the workflow gave us a way to respond immediately and keep follow-up moving even when the onsite team’s capacity was limited.”

Nurture Boss also created and sent three custom marketing email and text campaigns through Blasts, giving the community another way to engage prospects during the transition.

When Flats on the A welcomed its new onsite team, they stepped into a leasing process that had remained active throughout the transition. Nurture Boss trained the staff on the platform, existing workflows, and how to work alongside the VLA, allowing them to build on what was already working rather than manage a backlog of neglected leads.

Over the two-month transition, Nurture Boss supported 1,197 interactions, including 612 AI-answered calls and 585 conversations with prospects and residents.

This coverage allowed the onsite team to focus on tours, applications, and other high-priority human responsibilities while the VLA managed incoming inquiries and ongoing follow-up.

The results have even changed how Flats on the A uses the VLA now and moving forward. PaulsCorp has retained the expanded coverage, faster response time, and tighter follow-up cadence because the customized workflow continues to meet the community’s needs.
